Starting on Monday, August 2nd, the Agency P-Card and Travel Card Administrators will be required to add the employee EIN to the Optional 1 Field under the Account Profile section when opening a new P-Card and Travel Card or updating existing accounts online. The EIN information is critical for the GAO to run queries and reports against HRIS data to verify if employees are still active with the State.
In addition, as a reminder, the Agency P-Card and Travel Card Administrators should code employees as T-9, Terminate, in the Account Administration section of Access Online once they have permanently left the agency. If employees are on FMLA or National Guard Duty, their card account may be changed to V-9, Voluntarily Closed, status and may be reopened once the employee returns to the agency.
