FYE 2022 Encumbrance Balance Roll (Sweep) Job was executed on Saturday, 7/30/2022. The roll does not discard, cancel, and modify encumbrance documents per se. It simply liquidates outstanding encumbrance balances in the 13th APD (the thirteen month) of Fiscal Year 2022 and reestablishes the same balances in the 1st APD (July) of Fiscal Year 2023.
As with previous fiscal year results, there are a lot of rejected JVES documents to research and clear. If your agency comes across negative encumbrance balances directly related to FYE 2022 JVES document posting, this is temporary and expected as the clearing rejected JVES documents is in full progress.
Rejects are mainly due to changes/inactivation of chart of accounts (including programmatic chart of accounts), changes of agency’s fund department requirement configuration, and changes/inactivation of agency’s budgets with outstanding encumbrance balances that are subject to the annual liquidation and re-establishment.
As an important reminder, if your agency changes/inactivates chart of accounts, changes agency’s fund department requirement configuration, and inactivates/changes agency’s budgets, you must check for outstanding encumbrance balances and close them accordingly before proceeding.
