Important Updates Regarding 2013 Year-End Payroll Processing.

December 26, 2013 Payday
The Direct Deposit file for State employees paid through HRIS is normally transmitted on Wednesday with an effective date of the Thursday payday. However, due to the Christmas Holiday, on December 25, 2013, the Federal Automated Clearinghouse that processes our file will not be open to receive the State’s Direct Deposit file. It is scheduled to reopen and process the file the morning of December 26, 2013. Therefore, although HRIS is scheduled to process like any other bi-weekly payroll, some financial institutions may not be setup to receive, process, and make funds available to their customers on the same business day, which may impact which day employee’s specific accounts are credited. If employees have any questions about this impact due to the holiday, they will need to contact their financial institution.

Warrants Mailed
To ensure employees have constructive receipt of their pay in 2013, all payroll warrants (including handwrites) dated December 26, 2013 through December 30, 2013 will be mailed directly from the GAO to the employee’s address of record in HRIS. There will not be any agency pickup for payroll warrants. Please advise employees to validate that their address in HRIS is correct. Employees can update their address in real time through the YES website at http://yes.az.gov. New direct deposit accounts should be setup in HRIS by December 17, 2013 to ensure the December 26, 2013 payment is paid electronically. Those employees who receive payroll warrants have, and will be notified of the mailing on the November 28, 2013 and December 12, 2013 paystubs with the following message:

For the 12/26/13 payday, the General Accounting Office will mail all payroll warrants to the address printed on the stub. Please verify your address and make any updates via the YES Website at http://yes.az.gov by 12/24/13 at 5 pm.

AFIS Data Processing - Holidays
Payroll files will be transmitted to AFIS on Wednesday as they typically are. However, since AFIS does not process on holidays, payroll and expense data will be processed and posted Thursday, December 26, 2013, night and available for viewing and reconciling on Friday, December 27, 2013. Additionally, ACH payments and the detailed support information related to ACH payments for vendors will be processed on Thursday night and not available until Friday as well.
