In our continuous effort to increase efficiency in the vendor operation management and to improve user experiences with the AFIS Vendor File, GAO AFIS Operations Group will be inactivating all active vendor profiles that were established from the legacy State’s procurement system, ProcureAZ.  These vendor profiles, hereinafter referred to as PZ Vendors, were created from the legacy ProcureAZ, which was replaced by the current procurement system, Arizona Payment Portal (APP) in October of 2018.

The inactivation effort will take place in two phases.  Phase one includes all active PZ Vendors with equivalent IV vendors.  Phase two includes all active PZ Vendors without equivalent IV vendors.

Phase one inactivation:  This phase includes all active PZ Vendors with equivalent IV vendors.  An equivalent IV vendor means an active IV vendor profile was already established in both AFIS and APP during the vendor/supplier conversion from ProcureAZ to APP in October of 2018.  A full list of Active PZ Vendors with the IV Information crosswalk is available on the GAO website, under AFIS, AFIS Information.  The EBIC NO in column D of the list shows the equivalent IV vendor information in AFIS and APP. 

We would ask agencies that are still using these PZ Vendors to a) begin using equivalent IV vendors now and b) close out outstanding encumbrance and payment activities by March 16th, 2022.  AFIS Operations will be inactivating these vendors in AFIS on March 17th, 2022.  Once these profiles are inactivated, they will not be reactivated in AFIS. 

Phase two inactivation:  This phase includes all active PZ Vendors without equivalent IV vendors.  These PZ Vendors do not have equivalent IV vendors because they did not have any payment activities in the legacy ProcureAZ at the time the vendor/supplier conversion from ProcureAZ to APP took place in October of 2018.  The AFIS Operations Team is evaluating all active vendors included in this phase to ensure there is equivalent and active IV or other vendor profile for these vendors and will communicate the inactivation plan when we are ready.
