infoAdvantage Statewide report updates

The GAO has made updates to Statewide Reports in infoAdvantage:

FIN-AZ-GL-N635 BUDDIES Data Entry – new report designed to expedite the data extraction and compilation for BUDDIES Revenue and Expenditure data entry into BUDDIES Schedules.  Please attend the user group meeting (register in Tracorp) on July 29 at 1pm to see a demonstration of the functionality in this report.

FIN-AZ-GL-N648 Encumbrances – modified in two ways:

  1. added a tab showing the split of open encumbrance documents and amounts by BFY – FUND –  DEPT – APPROP
  2. added a column that combines the encumbrance document ID into a single column on the detail tab to expedite research needs

FIN-AZ-GL-N389 Balance Sheet Detailed Transaction – removed from the Statewide folders.  Users should delete copies of this report that may have been saved in their Department On Demand folder and use the new GL-N649 (below) report instead.

FIN-AZ-GL-N649 Balance Sheet Account Inquiry – new report enabling inquiry for document details by Fund and BSA.  The report prompts are designed to pull complete data even during the time period when two fiscal years are open at the same time.

FIN-AZ-GM-C075 Inception to Date Grant Awards, Draws and Expenditures – modified to improve performance (run time).  Users no longer need to enter a context, can run the report from the sidebar prompt menu, can run by grant ID with a wildcard, and can use input controls to filter out grants from the final report.

FIN-AZ-AM-N542 Asset Expenditures by Period – modified to include BFY

FIN-AZ-GL-N654 COVID 19 Expenditures for all Departments – modified to include vendor invoice number and date

FIN-AZ-AM-N610 Asset Listing – modified to include Appropriation Code

FIN-AZ-GL-N616 Expenditures by Period – modified to include invoice ID and number as well as function code.  Function code is both a prompt and input control.

Copies of these reports or those under the “My Recently Viewed Documents”, may not function properly due to the indicated changes. Please run/refresh the reports from the “1 – Statewide Reports” folder.
