infoAdvantage Statewide Report Updates

The GAO has made updates to Statewide Reports in infoAdvantage:

  • FIN-AZ-SEC-N670 User and Role Inquiry - New Report showing user information (email, last password update and department), along with assigned security roles and workflow roles. Users run the report by department and security role and/or workflow role. The report can be used to search for users assigned to certain roles. For example, agencies searching for users with transfer roles at another agency can run the report for just that role and the specified agency(ies). Finally, the SEC-N346 Security Listing by Department report has an inherent limit of 1000 users so will fail if users run it for an entire Department and if that Department’s list of users exceeds 1000. In anticipation of this soon-to-be-reached limit (for certain large Departments), GAO has built this report for users.
  • FIN-AZ-SEC-N346 Security Listing by Department - Modified Report to remove lock flag description and last password update. Users may run the new FIN-AZ-SEC-N670 User and Role Inquiry to obtain that information. When a Department's list of users exceeds 1000 users, and when users attempt to run for the entire Department’s security and workflow role listing (as opposed to running for a single user), the FIN-AZ-SEC-N346 will not run. However, the FIN-AZ-SEC-N670 will be able to run regardless of how long the list of users becomes. The SEC-N346 can be run by user ID but not by role(s) assigned. The SEC-N670 cannot be run by user ID, but can be run by role(s) assigned.
  • FIN-AZ-WF-N009 Document Turnaround Times - Modified to include more calculations of days between certain dates deemed useful to various users (creation to approval, invoice to approval, tracking date to approval). Three approval dates are included to suit the varied situations encountered. Many input controls are available along with summary-level report tabs to enable and expedite dynamic analysis of trends and details. Please read the report description on the cover page for important details.

Copies of these reports or those under the “My Recently Viewed Documents,” may not function properly due to the indicated changes. Please run/refresh the reports from the “1 – Statewide Reports” folder.

For quick access to often-used reports, users may create shortcuts from Statewide reports and save the shortcut to their agency On Demand folder, or users may pin the reports to their taskbar in infoAdvantage.
