ProcureAZ Processing for FY15 and FY14 13th month

ProcureAZ requisitions and POs for FY15 will be available for partial processing beginning on Monday, June 16, 2014. Full processing of these transactions will be available beginning on July 1, 2014, assuming AFIS is available for transaction processing. Please refer to the ProcureAZ Year-end Quick Reference Guide on the GAO website located at /afis/afis-information.

If agencies try to fully process these transactions in ProcureAZ before July 1, 2014, requisitions will attempt to interface a pre-encumbrance transaction and POs will attempt to interface an encumbrance transaction to AFIS. Since AFIS is not available for processing FY15 transactions until July 1, 2014, agencies will receive an error message in ProcureAZ if they attempt to process a final approval of a requisition or send a PO to a vendor. Therefore, requisitions and POs may be entered, but not Final Approved until July 1.

FY14 13th month invoices will be available for processing during the FY Roll Period in ProcureAZ beginning on Monday, July 1 (after the month of June is closed in AFIS) and ending on Tuesday, July 15. Agencies must input 06/30/2014 in the Effective Date field under the General Tab of ProcureAZ Invoice Module. Invoices with the effective date of 06/30/14 will be sent to AFIS as 13th month transactions with the effective date of 06/31/2014. If agencies do not input 06/30/2014 as the effective date and leave it as a July default date, the invoice transaction will go out on error after it is sent to AFIS, and it will need to be deleted from AFIS because AFIS does not allow the effective date change on a tracked document. Please do not put 06/30/2014 as the effective date on an invoice before Monday, July 1. This will trigger the invoice to post to June.
