Statewide Employee Time Entry (ETE) Agency deadline changing.

Based on input from several agencies and an internal review of ETE and HRIS activities, the statewide ETE agency deadline is being extended 1 additional day from pay period end Friday at 6:00 p.m. to the Saturday after pay period end at 6:00 p.m.

OLD NEW
Employee - Wednesday at 6:00 p.m. Employee - Wednesday at 6:00 p.m. (same)
Supervisor - Thursday at 6:00 p.m. Supervisor - Thursday at 6:00 p.m. (same)
Personnel Coordinator - Friday at 6:00 p.m. Personnel Coordinator - Friday at 6:00 p.m. (same)
ETE Agency deadline - Friday at 6:00 p.m. ETE Agency deadline - Saturday at 6:00 p.m. (new)

This change simply allows some agencies an extra day of last-minute flexibility to make the ETE agency deadline.  For example, an agency that has hourly (FLSA non-exempt) staff working after Friday at 6:00 p.m. who actually work something different than what they previously forecasted in their ETE submission can still make a correction in ETE at the very end of their Friday night shift which can eliminate the need for Agency Payroll to process an adjustment in HRIS on Monday morning.  It also allows agencies some flexibility, if needed, for supervisors and personnel coordinators to correct an error on Saturday.

The GAO suggested deadlines of employees submit by Wednesday, supervisors approve by Thursday, and agency personnel coordinators (proxies) review by Friday remain the same.  Agency designated ETE reminder emails for employees and supervisors will stay as they are unless your agency requests a change through [email protected].

For many agencies, this will have no operational impact.  However, because Saturday will now be available for last minute updates, ETE will not be available for the new pay period until after ETE processing on Saturday at 6:00 p.m. is complete.

This change is scheduled to be implemented with the new fiscal year.  The first Saturday Statewide ETE agency deadline is scheduled for July 2, 2016 at 6:00 p.m.
