Cost Structure Approval Process in New AFIS

In anticipation of the influx of cost structure documents with the new fiscal year, the GAO is notifying you of what to expect regarding the approval process. 

In general, documents will be approved within two business days.  Please do not contact the Federal group with questions on the status of your request unless the request is pending after two business days.  Note that you will not receive an email notification that the document has been approved.  You can go to the document catalog, search for the document and check its status.  Upon reaching Final status after GAO approval, your cost structure updates will be written to the appropriate tables.

Here are a few things to help expedite approvals:

  • For Cost Accounting Modification (CAM) documents, include a brief description in the header, General Information tab indicating what is being added or modified.
  • The CFDA validation box on the Major Program should always be checked.
  • Appropriately identify the Major Program/Program Category on the Rollups tab.  The Category Rollup is the same identifier as Grant Type on a grant profile (D47) screen currently in legacy AFIS.
  • If your document is rejected, read the comments entered by the Federal group and try to resolve. Comments will be directly attached to the document.  If you still have issues, then contact us. The intent is to maximize service delivery and streamline the process by enabling agency staff to become increasingly self-sufficient in resolving errors.  By not overloading the Federal group with repeat questions, they will be more readily available to assist on more critical questions and issues.
