eCivis Conversion

As part of the BREAZ project, integration between eCivis and the new AFIS is planned for go-live.  Programmatic information such as grant opportunities, applications, and awards that are in eCivis will be interfaced into the new AFIS Grant Lifecycle Management (GLM) module.  Grant information in GLM will be linked to the appropriate cost structures, using the Grant ID field. 

In order to take advantage of this leveraged process and to reduce the burden of additional manual work, agencies must complete the Office of Grants and Federal Resources (GFR) eCivis spreadsheets by Friday, February 27, 2015. The GFR will upload agency-provided grant information into eCivis and assign a State Application Identification (SAI) number that will become the Grant ID number upon interfacing into GLM.  Agencies are responsible for populating the Grant ID field on the BREAZ Cost Structure Workbooks due to BREAZ by April 1, 2015.  The Grant ID number will provide a link between the Cost Structure, GLM and eCivis.  

A conversion of eCivis information to GLM will occur prior to the final Chart of Accounts submission due date of April 1, 2015.  Any new grant information entered into eCivis after February 27, 2015 will be available in GLM after go-live.  

If these deadlines are missed, agencies will be responsible for creating Cost Accounting Modification (CAM) documents directly in New AFIS to update the Grant ID field in their respective cost structures.
